Banksia Montessori School is an Independent School located in Dianella. We run a quality driven Montessori program for children between 3 and 6 years of age. 

HOURS OF WORK

Two days a week – currently Wednesdays and Thursdays 8.30am-3.30pm.

Position Summary:

The Finance & Admin Officer is responsible for assisting with day-to-day financial operations, maintaining accurate financial records, and supporting the team with bookkeeping and some administration tasks. This role requires high attention to detail, a high level of accuracy, and the ability to work efficiently and self autonomously. Candidates must be comfortable taking full ownership of their responsibilities

 

Key Responsibilities:

  • Process accounts payable and receivable transactions accurately and in a timely manner.
  • Process payments
  • Process funding received from State and Federal Governments and process all documentation requirements related thereto

  • Process application and other fees

  • Process payment plans, school fees, levies and uniform payments

  • Reconcile bank statements, and other financial records.
  • Manage the bank accounts and monitor account balances

  • Liaise with Insurance renewals

  • Maintain depreciation spreadsheet and journals

  • Preparation of yearly budget

  • Assist in preparing and maintaining general ledger entries and journals.
  • Support the preparation of financial reports, including Management Report and profit and loss statements 
  • Maintain payroll processing and ensure compliance with tax and superannuation obligations
  • Collaborate with internal teams to resolve invoicing and payment queries.
  • Prepare audit schedules for the School

  • Prepare file of supporting information for the external auditors to support financial statements

  • Prepare and process all documentation prior to and for the AGM

  • Complete requirements for Part A, B & C of the School's registration process when it falls due

  • Prepare and lodge GST and BAS statements and Not for Profit Self Review
  • Maintain HR, onboarding of staff, maintaining staff records and contracts
  • Coordinate maintenance of school premises with Admin officer

  • Oversee external contracts and liaising with City Council regarding property matters

  • Comply with and process annual Department of Education and Training Important Schooling Dates and AISWA's School Compliance Calendar

  • Undertake other Financial and Admin duties as may be assigned from time to time by the Principal

  • Handle various school census data and student details

  • Cover reception two days a week

  • Answer incoming calls and pass on messages two days a week

  • Maintain Financial filing systems both soft and hard copy

  • Liaising with School Council and attend Council meetings

  • Liaising with parents regarding student matters

 

Skills and Qualifications:

  • Certificate IV in Bookkeeping, Accounting, or equivalent qualification.

  • 5+ years of experience in a bookkeeping or accounting support role 

  • Previous experience Finance experience in a School desirable but not required

  • Excellent Proficiency in MYOB and Microsoft Office Suite (Excel, Word, Outlook).

  • Advanced level of excel including import and export data, group functions and formulas
  • Strong attention to detail and accuracy in data entry and record-keeping.

  • Excellent organisational and time management skills.

  • Ability to work self autonomously and collaboratively within a team.

  • Strong communication skills, both written and verbal.

  • Strong understanding of accounting principles and financial reporting.

  • Participation in small school culture

  • Analytical and problem-solving skills

  • Problem-Solving: Identifies and resolves discrepancies and financial issues effectively.

  • Confidentiality: Maintains discretion and protects sensitive financial information.

  • Decision making skills

  • Must hold or obtain a Working with Children Check
  • Payroll experience
  • This position reports to the Principal and contacts include all School staff, external contractors, parents, suppliers, ATO, Superfunds, AISWA, Department of Education.
